Privacy Policy
PURPOSE
The e61 Institute (Institute) is committed to protecting the privacy of individuals in accordance with its obligations under the Privacy Act 1988 (Cth), the Australian Privacy Principles and any applicable privacy legislation. This policy outlines our approach to the collection, use, storage, and disclosure of personal information. Personal information means information or an opinion about an identified individual, or an individual who is reasonably identifiable (whether true or not or recorded in a material form or not). This Privacy Policy explains how the Institute collects, holds, uses and discloses personal information.
Collection of Information
The Institute may collect personal information when individuals interact with the Institute, including your name, gender, occupation, e-mail address, phone number, home address or other contact details. The Institute will only collect personal information that is reasonably necessary for its functions and activities, and only by lawful and fair means. Information may be collected directly from individuals or via third parties (e.g., academic or research partners) where permitted.
The Institute will only collect sensitive information about you with your consent (unless we are otherwise allowed or required by law to collect that information). Sensitive information includes (without limitation) information about your health, racial or ethnic origin, religious beliefs and criminal record.
Use and Disclosure
Personal information will only be used for the purpose for which it was collected or for a related secondary purpose that a person would reasonably expect. We may collect, hold, use and disclose your personal information for the purposes of:
- responding to requests for information, general enquiries and complaints;
- informing you about the Institute’s research and associated activities;
- providing event invitations and newsletters;
- direct marketing;
- facilitating any engagements, services or other business that we have with you; or
- to undertake associated administrative or operational activities.
If you do not or are not able to provide us with the requested personal information, we may not be able to provide you with the information, goods, or services which you have requested.
We may disclose your personal information to a trusted third party (eg. service providers and professional advisors) where reasonably necessary for the Institute’s functions and activities or to provide information, products or services to you. We will not give, sell, trade, rent or otherwise provide your personal information to any other third-party organisation unless you have consented, it is reasonably necessary to provide services to you, or we are required by law to do so.
We do not publish personal information collected through the Institute’s website unless we have your express permission.
Individuals may opt out of receiving marketing communications at any time using the unsubscribe facility on email communications or by contacting the Institute.
Data Security
The Institute will take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. This includes:
- implementing secure digital systems and password protections;
- using encryption where appropriate;
- restricting access (including using multi-factor authentication) based on role and need;
- implementing physical safeguards for hard copy records; and
- using secure disposal procedures.
Personal information may be stored or processed using cloud-based service providers located in Australia or overseas where reasonably necessary for the Institute’s operations.
If the Institute experiences an eligible data breach under the Privacy Act, it will comply with its obligations under the Notifiable Data Breaches scheme.
Retention and Disposal
Personal information will be retained only for as long as necessary to fulfil the purpose for which it was collected and in accordance with legal and contractual obligations. When no longer required, information will be securely destroyed or de-identified.
Access and Correction
Individuals may request access to their personal information held by the Institute and request corrections if the information is inaccurate, incomplete, or out-of-date. Requests should preferably be made in writing to the Privacy Officer. We may only refuse your requests if permitted by law. If your request is refused, we will provide you with a written explanation for that refusal.
Complaints
Any concerns or complaints about the Institute’s handling of personal information should be directed to the Privacy Officer via contact@e61.in. Complaints will be reviewed promptly and responded to accordingly.
If you are dissatisfied with the outcome, you may complain to the Office of the Australian Information Commissioner (OAIC). Further information about making a complaint to the OAIC is available at www.oaic.gov.au
The Institute reserves the right to change this policy at any time. Any updates will be posted on the Institute’s website.
