The e61 Institute is currently recruiting for an Administration officer for our Surry Hills office in Sydney.
This is a fixed term contract through February 2024, with potential for permanency thereafter. Reporting to the Chief Operating Officer and the Research Directors, the role will play an integral role in supporting the day-to-day operations of the Institute.

ROLE RESPONSIBILITIES
HR Administration
- Address HR enquiries efficiently and refer any matter to leadership when required.
- Ensure employee records are up to date and complete.
- Assist in fortnightly payroll preparation.
- Co-ordinate the recruitment process ensuring a smooth and efficient processing of applicants.
- Managing the onboarding and induction of new team members
Business systems and support
- Manage accounts payable and receivable using Xero accounting software.
- Reconcile accounts using Xero accounting software.
- Monitor and triage incoming email enquiries efficiently.
- Monitor and administer IT systems such as Office 365.
- Resolve internal IT issues, including escalating and liaising with our external IT consultant where required.
Website and Social Media Management
- Update the Institutes website using WordPress (training will be provided).
- Liaise with the external Web Developer as required for updates of problem resolution.
- Work with the research team to access website and social media content.
- Maintain regular content dissemination across social media accounts.
Premises management
- Manage the office facilities, working closely with building management.
- Administer office security systems and access pass allocation.
- Maintain office equipment and supplies
Events & Travel management
- Manage travel bookings and monitor travel budget compliance.
- Maintain the internal events calendar to ensure appropriate scheduling of office visits, seminars, conferences, and internal presentations.
- Work with the research teams to co-ordinate internal events.
- Work with the leadership team to co-ordinate external events
ESSENTIAL SKILLS/EXPERIENCE
- High proficiency in MS Office Suite
- Experience with Xero or similar accounting software
- Bachelor’s degree in business administration or similar field preferred
- At least 2 years’ experience in a similar role
